Meeting Room Use Policy

Anderson Public Library provides meeting room space for public use.            


Requests for reservations at either the Main Library or Lapel Branch should be made online by visiting andersonlibrary.net. Room reservations at the Main Library may also be made by calling Information Services at 765-641-2456 during regular library hours. Lapel Branch meeting rooms may be reserved by phone at 765-534-4654 during regular library hours.


Cancellations may be done online at and.lib.in.us/evanced/lib/requestcancel.asp or by calling 765-641-2456 during regular library hours. Lapel Branch reservations may be canceled by phone at 765-534-4654 during regular library hours. Recurring “no shows” may result in restrictions of future meeting room usage.


Customers must read and agree to the Meeting Room Policy.

The library reserves the right to assign meeting rooms based on the best use of library facilities and to restrict the frequency of use. Library programs take precedence over other scheduled events or meetings. The library reserves the right to change, cancel, or revoke reservations. If there are changes or cancellations, staff will provide the affected group as much advance notice as possible. Anderson Public Library does not endorse or promote any meeting room group, nor its policies or beliefs.

 
Not-for-profit groups within the library district may use the meeting rooms at no charge. Donations to Anderson Public Library are welcome and may be submitted by visiting and.lib.in.us/support-your-library.

 
For-profit groups within the library district may use the meeting rooms at no charge for educational purposes and staff training only up to two days per quarter each calendar year. Additional days will be charged per the rates listed on the “Meeting Room Fee Schedule” below.


Not-for-profit groups and for-profit groups outside the library district will be charged per the rates listed on the “Meeting Room Fee Schedule” below.


Special fees will apply under certain circumstances. Payments must be made in advance and may be made online at the time of request using Visa, Discover, or MasterCard. Payment may also be sent by mail or made in person at the Information Services desk or the Lapel Branch during normal library hours. Checks should be made payable to “Anderson Public Library”.

                                                                                                                                                        
General Information

Meeting rooms are available while library facilities are open to the general public. See “Hours of Operation” for more information.


Rooms must be requested at least one full business day in advance.


Reservations may be made up to one year in advance.

 
Meeting rooms are locked when not in use. Customers may obtain a key for their assigned meeting room at Circulation.

 
Rooms must be cleaned, all furniture and equipment must be returned to the original setup, and the meeting room key must be returned to Circulation by the end of reservation time.

 
All events must be free of charge and open to the public. No amount of money may be charged prior to or during the event. Tickets may not be sold nor donations or freewill offerings taken. If a seminar is being provided, endorsement or sale of a service or product is NOT allowed, except those that support the library.
 

No private parties or receptions are allowed (i.e. birthdays, reunions, showers).

 
Meeting room use must not disrupt other library customers.


Publicity prepared by an organization concerning meetings (news releases, brochures, flyers, public service announcements, etc.) must carry the name and phone number of the sponsoring organization. The library cannot be identified as a sponsor, nor may the library’s telephone number be used as a contact number for the organization.


Telephone messages for anyone attending a meeting will not be taken except in case of an emergency.
 

Do not affix items to walls, ceilings, or any library property. Easels are available.


A caregiver or parent must accompany children under age seven at all times. Adults attending meetings must not leave children under age seven unsupervised in Children’s Services or anywhere in the library.
                                                                                                                                   

Glitter is not allowed in meeting rooms.


Pre-approval of electrical appliances is required.


Items may not be displayed in the hallways.

                                                                                                                                                           
Refreshments and Kitchenette


Refreshments and non-alcoholic beverages may be served in meeting rooms. Alcohol and beverages containing red, purple, or orange dyes are prohibited (i.e. grape juice, fruit punch).

 
Drinks and food are allowed in the meeting room areas and kitchenettes only.                
                                                                                                                                                 

Food and refreshments, including those that are catered, should be limited to finger foods or box lunches. Steam tables, electrical appliances, and open flames are not allowed.
 

Groups must provide their own paper products, utensils, and condiments.
                                                                                                                                                           

The kitchenette must be cleaned and left in the original condition or the Damage/Disorder fee will be charged. Leftover food and beverages should be disposed of properly; no food or drink should remain in the refrigerator.


Kitchenette contains: Coffee makers (12, 30, 45, and 100 cup models), one Teacart, Refrigerator, Microwave, and Sink.


Meeting Rooms at Anderson Public Library

Carnegie: Boardroom for 18 with one side table.

Equipment: TV, DVD/VCR, dry-erase board, easel, and wireless Internet; kitchenette upon request.

Redbud: Boardroom for 16 with one side table.

Equipment: TV, DVD/VCR, dry-erase board, easel, and wireless Internet; kitchenette upon request.

Riley: Boardroom for 10 with one side table/desk and 8 extra chairs

Equipment: dry-erase board, easel, and wireless Internet; kitchenette is not available.

Delaware: Classroom for 36 with one registration table, one front table, two side tables, and a podium.

Equipment: LCD projector, computer hook-up, DVD/VCR, microphone, dry-erase board, cart, wireless Internet, and additional tables/chairs available in the storage area; kitchenette upon request.

Miami: U-shape for 27 with one registration table, one front table, two side tables, and a podium.

Equipment: LCD projector, computer hook-up, DVD/VCR, microphone, dry-erase board, cart, wireless Internet, and additional tables/chairs available in the storage area; kitchenette upon request.

Chief Anderson Room: Combination of the Delaware and Miami rooms, with the partition wall removed.


Meeting Rooms at Lapel Branch

Second Floor: Theater for 40, American flag, Indiana flag, two side tables, and back table

Equipment: Wireless Internet, DVD/VCR, LCD projector, and video screen. Additional tables/chairs available.

                                                                                                                                              

First Floor: Boardroom for 16, American flag, Indiana flag, and one side table.

Equipment: Wireless Internet, TV, DVD/VCR, video screen, and dry-erase board. Meeting Room Fee Schedule

 
Small Meeting Rooms: $50 for a meeting up to 4 hours long; $100 for a meeting more than 4 hours long
 

Chief Anderson Room: $100 for a meeting up to 4 hours long; $200 for a meeting more than 4 hours long
                            

Damage/Disorder: Rooms must be cleaned and returned to the original setup and the meeting room key must be returned to Circulation by the end of reservation time or a $50.00 fee will be charged to the group.

Kitchenette: (Main Library only) Kitchen facilities available upon request on a first come, first served basis.
